In the context of PCPD’s mission, the duties and responsibilities of its Office Assistant are enumerated.

 

Job Summary

 

The Office Assistant ensures that the Offices of the Executive Director and Program team, the Administration and Property, and Finance and Accounting teams operate smoothly by providing adequate and efficient logistical and secretarial support.

 

Duties and Responsibilities

 

1.      Secretarial/Administrative

1.1        Ensures that all guests and calls are received courteously

1.2        Ensures that all incoming and outgoing documents, mails, and packages for the Executive Director and Program Manager/Executive Assistant are logged and properly distributed. 

1.3        Under the supervision of the Executive Assistant;

1.3.1        Arranges appointments for the Executive Director

1.3.2        Provides secretarial assistance to the Executive Director

1.4        Ensures that all files are systematically arranged for easy retrieval and access

1.5        Under the supervision of the Administration and Property Manager;

1.5.1        Arranges the schedule of drivers/messengers

1.5.2        Keeps track of leave credit and usage

1.5.3        Prepares monthly attendance report

1.5.4        Provides administrative and logistical services for conferences, meetings and other PCPD events

1.5.5        Arranges travel requirements of staff such as airline tickets, hotels and local transportation

1.6        Keeps an updated directory of current stakeholders, potential donors and partners from bilateral and multilateral organizations, corporations, government and civil society

 

2.      Accounting, in cooperation with the Finance Manager and Finance Assistant

2.1        Receives checks and cash collections and issues official receipts

2.2        Releases checks and ensures official receipts are received

2.3        Disburses petty cash fund, reports on its usage, and requests for its replenishment

 

3.      Programs Assistance, in cooperation with the Program Officers and Program Manager

3.1        Monitors daily Philgeps posts and updates the Program Manager on the results

 

4.      Board Assistance under the direction of the Admin and Property Manager/Executive Assistant

4.1        Arranges for meetings and events as called for in PCPD Corporate policies and as instructed by the Executive Assistant

4.2        Compiles all materials and documents for Board and Committee meetings

4.3        Sends out minutes for signature of Board and Committee members

4.4        Sends out checks for signature of BOT for amounts exceeding one hundred thousand pesos

4.5        Maintains all files and records of the Board and the Committees

 

5.      Performs other related duties that may be assigned by management from time to time

 

Job Specifications

 

1.      Bachelor’s Degree in Business

2.      At least three (3) years experience in a secretarial or administrative position

3.      Excellent interpersonal skills

4.      Good written and oral communication skills

5.      Microsoft Office literate
